This Data Deletion Policy outlines how users, institutions, and partners can request the deletion of personal or institutional data, and the procedures we follow to ensure that all data is securely and permanently removed in compliance with applicable privacy laws, including the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other relevant U.S. and international data protection standards.
1. Scope
This policy applies to:
- Individual users (students, parents, counselors, and educators)
- Institutional accounts (schools, colleges, and organizations)
- Any third-party data integrations or services connected to Education Advisor (e.g., Google, Facebook, LinkedIn, etc.)
It covers all personal and institutional data collected through:
- Our web platform (educationadvisor.org)
- Mobile and web applications
- APIs and integrations with partner services
- Marketing, analytics, and communication tools
2. Types of Data Eligible for Deletion
Upon verified request, Education Advisor will delete or anonymize the following types of data:
- Personal information: name, email address, phone number, profile details, and any user-submitted demographic or academic data.
- Institutional data: school or organization details, user accounts created under institutional access, and related usage data.
- Analytic and activity data: login records, search history, recommendation logs, and behavioral analytics linked to an identifiable account.
- Third-party data: information imported or shared via integrations (e.g., Google sign-in, Facebook login) to the extent permissible by those services.
Certain data may be retained for compliance, fraud prevention, or legal record-keeping (see Section 5).
3. How to Request Data Deletion
Users can request deletion in one of the following ways:
- In-App Deletion Request
- Log in to your Education Advisor account.
- Go to Settings → Privacy → Request Data Deletion.
- Confirm your request via the verification email sent to your registered address.
- Email Request
- Send an email to contact@educationadvisor.org with the subject line:
Data Deletion Request – [Your Account Email]. - Include the following in your message:
- Your full name and registered email address
- Whether you are an individual or institutional account holder
- Description of any third-party integrations linked to your account
- Send an email to contact@educationadvisor.org with the subject line:
We will confirm receipt of your request within 5 business days and complete the deletion within 30 calendar days, unless additional verification is required.
4. Verification Process
To protect user data, all deletion requests must be verified. Verification methods include:
- Confirming access to the registered email address or institution domain
- Cross-checking associated account identifiers
- Requesting additional documentation for institutional or administrative accounts
If verification cannot be completed, we will notify you and pause the deletion process until the request can be confirmed.
5. Data Retention Exceptions
In some cases, we may retain limited data for the following reasons:
- Legal or regulatory obligations, such as tax or audit records
- Security, fraud, and abuse prevention
- Research and analytics, where data has been fully anonymized and cannot identify any individual
- Transaction records necessary for financial reporting
All retained data is securely stored and restricted to essential personnel only.
6. Deletion Process and Timelines
Once verified:
- Your personal and institutional data will be permanently deleted from Education Advisor’s active databases.
- Backups containing your data will be purged within 90 days as part of our scheduled backup rotation.
- All connected third-party processors (e.g., cloud providers, analytics tools) will receive deletion instructions under our data-processing agreements.
You will receive confirmation once deletion is complete.
7. Institutional Accounts
For schools, colleges, or organizations using Education Advisor:
- Deletion requests must come from the designated data controller or administrator.
- Upon request, we can provide a Data Deletion Report summarizing all records removed, dates of deletion, and confirmation of completion.
- Aggregated, anonymized data may still be used for benchmarking or research purposes, without identifying any individual or institution.
